Job Summary:
The maintenance administrative assistant provides administrative support for the Maintenance department.
Duties/Responsibilities:
Respond to guest questions or problems in a timely, professional manner
Meet the hotel standards for work procedures, dress, grooming, attendance, and punctuality
Accept opportunities to learn new skills, improve performance or cross-train for other hotel positions
Solve routine problems that occur on the job
Follow the hotel’s recommended safety, security, and emergency procedures
Maintain accurate records, files, reports, contracts, etc.
Adhere to all work order policies and procedures
Answer calls to include emergencies, guestroom needs and direct assignment to proper personnel
Assist in documenting comments for shop board, binders
Assist in keeping adequate parts, materials and supplies in stock
Issue work orders, maintain files, prepare payroll, and maintain a bookkeeping system.
Maintain work areas neat and organized
Maintain good working relationship with other departments, employees, and guests
Report all unsafe conditions immediately
Type all correspondence
Assist in maintaining purchase order system and document discrepancies in budget/cost variations
Complete miscellaneous reports
Attend mandatory meetings as assigned
Complete other duties as assigned by supervisor to include cross training
Required Skills:
Excellent verbal and written communication skills
Customer service skills
Organizational skills and attention to detail
Time management skills with a proven ability to meet deadlines
Ability to type 40+ words per minute
Office administration skills including phones, copiers, FAX, personal computer, calculator, and computer
Required Abilities:
Ability to prioritize tasks
Function well in a high-paced and at times stressful environment.
Good physical health and stamina
Capability to work with little or no supervision while meeting high-performance standards
Knowledge of inventories, scheduling, and productivity
Ability to type 40+ words per minute
Education and Experience:
High school diploma or equivalent
Maintenance technical vocabulary preferred
Physical Requirements:
Walking up to three miles per day on cement, tile, asphalt, and/or carpet
Able to lift minimum 10 lbs.; maximum 20lbs
