Under the direction of the Supervisor, Accounts Payable, the Accounts Payable Specialist processes and facilitates invoice payments, ensuring accuracy, resolving discrepancies, and obtaining necessary approvals. They also support related reports, such as payment remittances and other communications regarding the payable process. The Specialist ensures compliance with enterprise policies and procedures, including the Gaming Commission’s Tribal Gaming Minimum Internal Controls (TICS) and Gaming Commission Regulations (GCR), by studying standards, enforcing adherence, and advising management on required actions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1.    Responsible for reviewing a high volume of invoices. Verifies and analyzes invoices and purchase orders submitted from departments for accuracy, sales taxes, general ledger coding, etc.2.    Investigates and reports any discrepancies related to invoice and payment processing (i.e., department requisitions, purchase orders, receiving reports, payment requests, contract terms, etc..  Ensures compliance with regulatory requirements and enterprise standards (i.e., TICS and GCRs).  Maintains a high level of customer service in accordance with policies and procedures and established departmental guidelines and service level standards.3.    Maintains highly confidential records and ensures compliance with state and federal requirements and other reporting (i.e., W-9’s, Form 1099, Form 1042, Employment Development Department reporting, CA Form 592, etc.).4.    Responsible for reconciling invoices to ensure accuracy to support month end accruals and the month end close process.  Uses technical and operational skills to optimize performance and ensure timely completion of Accounts Payable activities.5.    Performs other duties as assigned to support the efficient operation of the department.

EDUCATIONAL, EXPERIENCE AND QUALIFICATIONS

  • High School diploma or GED is required.

  • Associate’s degree in accounting is preferred.

  • Minimum of three (3) years of experience in a high-volume Accounts Payable department is required.

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Strong understanding of basic accounting principles and practices.

  • Ability to analyze data and identify potential discrepancies.

  • Attention to detail, organization, and problem-solving.

  • Efficiently manage a high volume of invoices and maintain organized records.

  • Expertise in accounting software for data entry and reporting.

  • Communicate with internal and external clients.

  • Provide a high level of customer service.

  • Proficient in written and verbal communication.

  • Must possess intermediate proficiency in Microsoft Office Suite (i.e. Word, Excel, and Outlook) and advanced 10-key.

  • Experience with Enterprise Resource Planning (ERP) systems, emphasis on accounts payable module.

  • Must have demonstrated ability exercising utmost discretion with all confidential information related to the enterprise’s customers and vendors.

REQUIRED LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

​  o    Driving Responsibilities: Role requires regular commuting between locations. A valid driver's license and vehicle insurance with minimum liability limits is required. Role will not operate or drive Tribe-owned vehicles or patron vehicles.
