Summary of Position:

The Business Center Supervisor will oversee the handling of guest and group packages (receiving, delivering and shipping them out) as well as handling all printing requests from any Marc & Rose Hotels and all group requests.

Essential Functions:

  • Supervise the receiving and logging in of all packages that are sent to the resort 
  • Help to ensure that all packages are handled and delivered to their destination in a timely fashion
  • Assist in shipping packages for internal and external guests
  • Able and willing to perform daily operations of the Business Center, to include print jobs, workstation assistance and be able to handle general inquiries
  • Able to control and perform monetary Business Center transactions and ensure daily balance of financials and an assigned bank
  • Able to price shipments, billing credit cards in Micros, looking up a guest/group reservation number to charge though Springer-Miller
  • Able to maintain & update package receiving & delivery information in the SqBx System
  • Able to code shipping invoices and submit to Accounting for payment
  • Able to dispute any charges that are incorrect with freight companies in a professional and courteous manner
  • Able to maintain inventory of the resorts collateral forms management account. Duties include monthly inventory, warehousing, maintaining an excel spreadsheet, ordering product when par is down
  • Able to post and pay monthly postal charges
  • Able to complete Internal Inventory Transfers (IITs)
  • Other tasks as assigned by Director of Banquets or Banquet Managers

Supportive Functions: 

  • Assist in maintaining a competitive edge on shipping costs 
  • Building relationships with freight and shipping sales representatives their support staff and drivers
  • Able to be the administrator of freight accounts
  • Order and maintain supplies for the department
  • Respond to phone inquiries regarding shipping and receiving from external and internal guests
  • Able to respond to and complete special projects that come up
  • Willing and able to assist with any purchasing and IT needs
  • Able to secure personal/private guest information (i.e. credit card information) in a locked cabinet or a locked office
  • Able to secure and maintain an accurate inventory of packages for internal and external guests
  • Assist in maintaining a safe work environment
  • Assist in maintaining a clean and organized work area/environment
  • Assist in keeping work vehicles clean and maintained
  • Attend all meeting required by supervisor/manager

Qualifications:

Education: High School graduate or equivalent required.

Experience: 1-3 years previous shipping and receiving experience preferred.  Prior guest service or other Hospitality experience preferred.  Familiarity in Microsoft Office, Microsoft Publisher, Springer Miller, and Micros preferred but not required.

Certificates or Licenses: Valid driver license and clean motor vehicle record.

  • Able to train and supervise with strong leadership skills
  • Able to make quick and efficient decisions to benefit the team and guest
  • Able to effectively deal with internal and external guests, some of whom will require high levels of patience, tact and diplomacy
  • Able to use a moderately complex computer system and troubleshoot software problems
  • Able to learn and perform all essential job functions accurately and safely with minimal supervision
  • Able to multi-task in a fast paced environment
  • Able to exercise independent judgment and remain organized with large volume of parcels each day
  • Position requires extensive activity including but not limited to walking and climbing stairs
  • Able to tolerate sun and extreme temperatures for extended periods of time
