The amenity coordinator will be responsible for the coordination of the Galleria Office Towers amenity space reservations and facilities including the overall functionality of the spaces to ensure a smooth operation on a daily basis.The candidate will maintain a hospitality mindset and represent Galleria Office Towers and Piedmont in a positive and professional manner.This role requires a friendly energetic demeanor to orchestrate the duties.

JOB REQUIREMENTS:

  • College degree or equivalent 2 years’ experience in customer service or hospitality.
  • Ability to communicate clearly and professionally and while developing a pleasant rapport with tenants that anticipates their needs.
  • Collaborative nature with strong interpersonal skills.
  • Proficient in Microsoft Office Suite (Outlook, Excel, etc.) with the capability to quickly learn new systems.  Must have a clear understanding of audio/visual equipment.
  • Must be able to stand, sit, or walk for extended periods to greet visitors and tenants. Must be able to move, lift, carry, push, pull and place objects weighing 10 pounds or less.
  • Routine travel is not required for the position.  Requires annual travel for two to three days to attend company-wide meeting. 

JOB RESPONSIBILITIES:

Primary Amenity Areas are Listed Below

  • Meeting rooms (training rooms and board room spaces along with adjacent pre-function spaces)
  • Top Golf Swing Suite
  • Terrace
  • Tenant Lounges
  • Wellness Rooms
  • Other amenity areas as assigned

Other responsibilities include but are not limited to:

Meeting Rooms/Board Rooms/Pre-function Areas

  • Maintain reservation approvals within the Rise app while ensuring their set-up requests are within the building guidelines
  • Construct and send out weekly reservation booking sheet to all parties
  • Assist in arranging meeting room set-up for all reservations based on requests
  • Manage all bookings to ensure tenant satisfaction and a high level of professional service
  • Check all meeting room locations prior to meetings/events start times to insure they are clean and set-up correctly while working hand-in-hand with the Day Porter Supervisor and Amenity Lead. Assist with mid-day room changes, as needed.
  • Make sure that the equipment is working correctly and assist if there are any issues.
  • Assist tenants that are having difficulty with equipment usage.

Tenant Lounges/Common Area Amenity Spaces/Terrace

  • Inspect tenant lounges throughout the day to ensure cleanliness and inform day staff if there are issues that need attention.
  • Oversee coffee areas to confirm coffee pots are in working order and supplies are stocked.
  • Collaborate with day porters and amenity lead to ensure areas are in good order each morning and prior to tenants’ arrival
  • Check that TVs and music in all amenity areas are in working condition first thing every morning and throughout the day

Top Golf/Swing Suite

  • Meet Topgolf Swing Suite bookings and explain operation of program
  • Close Topgolf Swing Suite after bookings in a timely manner and put equipment away

Community Events and Drive

  • Assist with tenant events as needed, including set up
  • Flex hours for events, as needed, while maintaining a 40-hour work week. Hours are 7am-4pm Monday-Friday and any changes must be approved.

Other

  • Assist PM team with various projects, as needed.
  • Assist with preparing for leasing tours
  • Help visitors find their way if they appear lost or connect them with security
  • Other duties as assigned
