Hilton Americas-Houston is seeking a Site Inspection Coordinator to join their team. Our hotel is a premier event destination in the heart of downtown. This is an excellent opportunity for individuals aspiring to kickstart a career in sales!
What Will I be Doing?
Partners with sales leadership and sales managers to assist in coordination of site inspections/visits for all sales managers. Focuses on driving additional revenue for Hilton and ownership by improving site visit conversion. Provides administrative support to sales team in order to drive efficiencies. Implements the brand’s service strategy and applicable brand initiatives in all aspects of the sales process and drives customer loyalty by delivering service excellence throughout each customer experience.
Site inspections involve touring all areas of the hotel that pertain to each customers’ particular needs. Potential customers include but are not limited to, meeting planners, company or association executives, travel advisors, familiarization trips, press trips and visits, among others.
Functions:

Partners with Sales Manager, Event Management and/or Operations for site visits and provide a customer experience that exceeds the customer’s expectations before, during, and after their site visit

Provides accurate, complete and effective information to departments in preparation of conducting site inspections/visits

Represents sales department at staff meetings and stand up meetings and reports out on sales activity as it relates to site inspections

Coordinates all sales office site inspections/visits at the property for on property sales managers and remote sales managers. (e.g., create reservations with Hilton reward status and special needs, order amenities for arrival, arrange departure gifts, schedule transportation to and from hotel, create restaurant reservations, arrange consistent show rooms, customize meeting room set-up, distribute calendar invites to appropriate team members, create banquet event orders, vendor relations, correspond on behalf of the sales department via email and in person with internal and external clients pre and post site visit.

Partners with sales manager to develop creative aspects of site inspection

Work within artistic programs to develop creative for site inspections

Gathers all important customer data from sales manager and independent research in order to plan appropriately and create site inspection alert form (e.g. customers goals, specific needs, key account info, etc.)

Develops site standards and pricing guidelines in order to control sales expenses and allow for accurate projecting

Understands competitor’s strengths and weaknesses in order to differentiate Hilton from the competition during the site visit

Provides knowledge on local destination (e.g., local attractions, events, etc.)

Monitors successful performance by increasing revenues through site conversion percentages, controlling expenses and providing a return on investment for the owner and Hilton.
- Executes and supports Hilton’s Customer Service Standards and property‘s Brand Standards.

Monitors the execution by department by creating mechanisms to channel issues to property leadership and/or other appropriate stakeholders.

Coordinates Projects and activities. This may involve attending meetings, researching companies/clients and acting upon assigned duties to coordinate the assigned project. Maintain communication with departments involved in the assigned project/activity. Create Banquet Event Orders within Delphi and distribute appropriately.

Coordinates pre-planning meetings prior to the business turning over for business booked in advance (e.g.,> 18 months out).

Coordinates and plans all Familiarization Tours (FAM) and in-market customer events.

Maintains a good working relationship with other departments, employees, partners, and guests

Performs other administrative duties, as assigned, to meet business needs utilizing Microsoft Office programs including, Word, Excel & PowerPoint, as well as Delphi.fdc
