Job description

Job Summary:

The Sales Coordinator is responsible for assisting the sales and marketing department in booking sales room block groups, maintaining office functions while ensuring overall client satisfaction at every opportunity for internal and external customers.

Duties and Responsibilities:
  • Practice OSHA (Occupational Safety and Health Administration) standards and comply with all company safety policies and procedures
  • Maintain office coverage, answer phones and assist with telephone inquiries for group bookings.
  • Assist in coordinating arrangements/details for groups with the front desk, group room reservations, VIP requests, etc.
  • Provide administrative support to sales by preparing weekly sales activity reports, maintaining sales files, trace files, and account history, preparing sales agreements (as needed), coordinating appointments and schedules of sales activities, managing checkbook accounting for the department and sorting mail.
  • Assist the Front Office with pre-registering groups, group check-in and group check-out as needed.
  • Processes and delivers group resumes to the appropriate departments.
  • Assist with cut-off dates for group rooms.
  • Assist with billing
  • Alerts DORM of possible room attrition.
  • Requests rooming list ensures all information is accurate and sends confirmation numbers.
  • Remain current on hotel information, events, and policies.
  • Respond to client calls and special requests and obtain final details, dates, times, and hotel room and meeting room requirements. Regularly follow-up with clients and maintain accurate and updated information.
  • Report requests/complaints to DOS and appropriate department managers to assure the satisfaction of the guest.
  • Promote teamwork and quality service through daily communication and coordination with other departments regarding VIP amenities, special requests, or other service needs or special handling.
  • Perform other duties as assigned.
Minimum Qualifications:
  • High School diploma or equivalent
  • Communication skills are utilized a significant amount of time when interacting with coworkers, clients, and guests.
  • Reading and writing abilities are utilized often.
  • Proficient PC computer skills
  • Basic math skills are used frequently
Preferred Qualifications:
  • Some college preferred
  • 1-year experience in a sales/catering office or related field.
  • May be required to work nights, weekends, and/or holidays.
Physical Requirements:
  • Sitting and computer work 90% of the time.
  • Occasionally standing up and moving about the facility.
  • Carrying or lifting items weighing up to 25 pounds
  • Handling objects, products, and computer equipment: significant fine finger dexterity.

Job Type: Full-time

Pay: $22.00 - $24.00 per hour

Expected hours: No more than 40 per week
