What will I be doing?

As aGroup Rooms Coordinator, you'll be responsible for all pre-registration, room blocks, and handling all special reservation requests for individuals and groups. Prepares all VIP key packets and makes special arrangements as needed.

  • Maintain ownership of group blocks; this includes monitoring pickup numbers/ inventory, creating booking links, and setting up billing.
  • Coordinate group reservations with in-house departments and outside group contacts.
  • Utilize the internal reservation systems to book group, transient and third-party reservations.
  • Provide courteous and knowledgeable service to all guests and team members.
  • Read and visually verify information in a variety of formats
  • Answer phone calls, return voicemails and respond to emails.
  • Perform other reasonable job duties as requested
  • Create Group masters and update all systems with appropriate communication.  Pre-assign/verify rooms in accordance with Group resume.  
  • Work closely with hotel Sales Managers, Event Managers, Front Office Managers, Group Guests, Group Contacts and Travel Managers to ensure operating departments are informed of group need
  •  Enter third party reservations and respond to guest inquiries.  Administrative duties including Email correspondence with internal and external clients, processing and filing contracts, and managing suite inventory. 
  • Attend weekly Group Pick-up Meeting.

The Hourly Rate for this role is $26.45 and is based on applicable and specialized experience and location.
