The Human Resources Generalist – Finance Shared Service Japan is responsible for creating and supporting the most hospitable workforce in the world by ensuring leaders drive high levels of team member engagement through implementing effective human experiences throughout the Team Member lifecycle. The position will be the key business partner to the leadership team providing support and guidance on delivering Human Experiences during Employee Relations, Administration of Human Resources operational activities. You will have the opportunity to embed Global HR initiatives that support Hilton’s values, vision, and culture into local work processes.

What will I be doing?

  • Team Member Experience: Manage Team Member touch points with a can-do positive attitude. Create a process improvement culture that calls for regular review of systems and ways of working seeking automation with a human touch for efficiency as often as possible.
  • Team Member Recruitment: Manage the entire recruitment process, from job posting to interviewing to onboarding. Develop and implement recruitment strategies, and work closely with hiring managers to understand job requirements and competencies needed for roles.
  • Team Member Onboarding: Proactively review and propose changes to the TM experience partnering with hiring managers to ensure that our on-boarding process seamlessly transitions from recruitment excitement to highly engaged Team Member.
  • Team Member Engagement & Life Experience Management: Create a framework that has inbuilt moments to take time out for TM engagement and discussions on meaningful metrics and data such as GTMS to continue to evolve the Team Member experience and the way we work. Create an automated framework to ensure all Life Experience Moments (Service anniversaries, Birthdays, Births, Marriages, Seasonal Festivities, Relocations, Deaths, Celebrations, etc.) are recognized and celebrated and have touch points for leaders to engage with Team Members in a meaningful way and Team Members to share experiences. Drive GTMS improvement initiatives and is the Champion for the FSS Japan function.
  • Team Member Communications: Prepare thoughtful, fun, and engaging communication pieces to encourage Team Members to participate in and enjoy key events. Liaise with corporate communications on matters related to regional offices, such as Team Member appreciation week, Global Team Member Survey (GTMS) ensuring related matters, are communicated using the right medium to make an impact such as electronic bulletin Board, email etc.
  • Employee Relations: Act as a point of contact for both people managers and TM, addressing their concerns and resolve issues to ensure a positive work environment. Manage and escalate all labor issues to Regional Human Resources team and relevant parties.
  • Human Resources Administration: Ensure that Team Member benefits and welfare programs are utilized by Team members by ensuring that they are set up and administered to the right TM groups clear guidelines are adhered to across APAC and utilization for TMs does not deviate from policies.
  • Training and Talent Management: Support the development and succession planning of FSS team members by managing administration of regular updates on Smartsheets and any coordination of any growth/career conversations and progress. Managing the training calendar and training needs document for the FSS team, ensuring training is conducted and completed within defined schedules. Support the management training programs and check in progress of candidates and working together with talent/tower managers on schedules and project assignment for these candidates. Ensure Hilton mandatory training are completed on time and completely.
  • Objective Setting & Performance Management: Coordinate and support the objective setting and performance management processes ensuring timelines are met and systems (TMX/SmartHR) are updated for all team members.
  • Operational and Project Support to Finance Shared Services: Provide day to day support to the FSS leadership team as it relates to HR and team members related tasks. This includes coordination meetings with the team and (or) hotel teams, one on one support to the tower leads, attending to team member queries, coordinating team surveys and any office space related matters.

  • A relevant University Degree or at least 3 years of relevant experience.
  • Ability to work in a non-routine, fluid, and at times chaotic environment whilst making sure the work is delivered to the highest professional standards.
  • A willingness to travel for work purposes within Japan as required.
  • Proficiency in Excel, PowerPoint, and Word.
  • Strong communication & interpersonal skills in Japanese (above business level) with the ability to use these across different management levels to influence. English proficiency is advantageous.
  • Strong initiative with the ability to anticipate, and not simply react to business needs.
  • Ability to manage a range of competing priorities and demands through strong time management skills.
  • Experience in working in a diverse cultural environment.
  • Ability to communicate effectively with both internal and external stakeholders, and Team Members of all levels (including leadership).
  • Experience and knowledge using HR systems is advantageous.
  • A background in the Hotel/Hospitality industry is advantageous.
