Area Sales Coordinator

Summary: 

This role is a conduit of communication within and outside the Sales department. Support the team with reporting and systems processes to ensure efficiency from our department to customers and team members in other areas of the hotel. Associates must be comfortable working with computers, have excellent typing skills, professional phone manners, and be effective communicators.

Responsibilities: 

  • Actively demonstrate hospitality to our guests as well as our internal associates.
  • Focus on exceeding our guests’ expectations with every interaction.
  • Work closely with Sales, Front Desk, and Conference Services to effectively assist groups with their meeting, reservations, or guest room accommodation needs.
  • Provide accurate information about the Hilton Hotels experience, converting inquiries into confirmed business while obtaining maximum rates and occupancy.
  • Work with Area Director of Sales on reporting and project-based assignments.
  • Support Sales, Catering and Convention team with streamlining information for guests.

Essential Functions: 

  • Be familiar with all policies and procedures.
  • Be well-versed with the facilities and services offered by the hotel.
  • Participate in department projects.
  • Manage incoming calls using good listening and communication skills to secure information necessary to complete a qualified lead.
  • Assist with guest inquires to ensure they get sent to correct Sales Manager and properly entered into Sales System.
  • Keep current with all communication and department changes. Ensure appropriate guest follow-up takes place in a timely and appropriate manner.
  • Support Business Travel Sales team with arrivals/VIP preparation.
  • Be aware of booked-out status and need periods to maximize sales opportunities.
  • Work closely with Area Reservations Manager as back up support.
  • Be familiar with the hotel's credit policies to effectively handle and process billing requirements.

Job Requirements: 

  • Previous reservations, front desk, sales, airline industry, or high-end customer service experience of at least one year.
  • Pleasant phone voice and demeanor.
  • Excellent oral and written communication skills.
  • Excellent organizational skills.
  • Good attitude and a team player.
  • Very detail-oriented, able to prioritize and handle multiple tasks.
  • Experience with computers: knowledge of Microsoft Word, Outlook.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

High school diploma or GED.  2 years customer service and administrative assistant experience preferred.  Efficient working knowledge of various software such as Microsoft Excel, Word, and Power Point preferred.

LANGUAGE SKILLS

Must be able to communicate clearly with guests, customers, supervisors and fellow employees.

MATHEMATICAL SKILLS

Must be able to calculate amounts and apply basic addition, subtraction and multiplication

REASONING ABILITY

Must be able to make appropriate judgments regarding daily administrative duties.
