Practice Hospitality is seeking a hospitable and friendly Sales Coordinator to join the team at the Mining Exchange Hotel.

About The Hotel

Mining Exchange Hotel & Spa was built in 1902 as a stock exchange for local mining companies, The Mining Exchange Hotel offers a one-of-a-kind experience in the heart of downtown Colorado Springs. Our elegant, yet casual public spaces, and guestrooms are all newly renovated.

Job Role

At Mining Exchange Hotel, the Sales & Marketing Coordinator provides support to enable the seamless operation of our groups and meetings, ensuring overall client satisfaction and repeat business.

Responsibilities:

  • Completes administrative tasks supporting all group sales efforts as assigned by the director of sales and catering including but not limited to: preparing sales kits, documenting prospective accounts, organizing files, preparing contracts, preparation of invoices, purchasing of office supplies and data entry.
  • Organizes and coordinates client appreciation and in-house hotel events
  • Ensures client satisfaction by coordinating signage, maintaining relationships, sending group and meeting surveys and assisting with group/individual needs and requests.
  • Attends pre and post conference meetings as needed
  • Handles all in-suite VIP packages and amenities as needed
  • Loads all rooming lists, routing information, tax-exempt status and verification of payment
  • Blocks all groups that have special placement requirements
  • Maintains account ledger by keeping track of all open accounts
  • Assists Sales Team with any special projects.
  • Represent the hotel in resolving complaints from groups and group attendees, including but not limited to billing and reservations
  • Responsible for initiating the preparation of proposals and/or contracts to advise prospective customers primarily of the hotel guest rooms, but also meeting space and/or banquet date, space, and rate availability.
  • Responsible for initiating reservations for group attendees, preparing rooming lists, revising existing reservations, building group blocks in the PMS as needed.  Communicating to external customers any communication deemed necessary by the event service managers.
  • Assist the Sales Managers upon request to conduct site inspections with potential customers, visiting guest rooms, meeting space and banquet facilities, as well as other hotel facilities.
  • Data entry using Delphi, Microsoft Word and Excel.
  • Copying and distributing of internal/external letters, forms, bookings, contracts, resumes, room lists, schedules, and mail.  E-mail correspondence directed by managers as needed.  Filing, faxing, and distribution of incoming/outgoing mail.
  • Answer telephone and assist internal and external guests with requests.

Basic Qualification & Skills

  • Associates degree in hotel/hospitality or related field or equivalent experience/education combination
  • Demonstrated proficiency in Microsoft Office Suite
  • Professional communication skills both verbal and written
  • Requires a minimum of two years of experience in guest contact areas of the hospitality industry.
  • One-year previous experience as administrative assistant in related field preferred.
