Under the direction of the Manager, Tribal Events, the Events Coordinator assists by performing logistical and administrative duties. The Events Coordinator supports the planning, implementation and evaluation of activities involving Tribe-sponsored special events, public ceremonies, cultural events and other public activities on behalf of the San Manuel Band of Mission Indians. The Events Coordinator performs tasks on special projects and events at worksites locally, throughout the region, and specific statewide and national events.The Events Coordinator also collaborates, initiates, and supports opportunities with other functions by championing the goals and priorities of the Tribe in a manner that faithfully reflects and upholds the Tribe’s vision, mission and values.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1.    Directly supports event logistics, planning, execution and coordination of tasks for Tribe-sponsored public ceremonies, special events, cultural events, and public meetings/events. Coordinates with the Vice President, Tribal Brand Marketing & Strategic Initiatives and Tribal Events Manager on community and cultural related activities associated with enterprise and Tribe-sponsored events. Performs administrative duties such as organizing and maintaining project files, records, processing payments and updating the events calendar throughout the year.

2.    Compiles and provides event information to executive management and appropriate stakeholders throughout the enterprise. Prepares and distributes follow-up correspondence to participants following the conclusion of special events.  Processes requisitions in the procurement management system and follows up to meet critical deadlines.

3.    Negotiates and processes contractual agreements for events through the Tribe’s contracts management system and ensures timely completion of the contracts approval process.

4.    Tracks budgetary items and updates for specific events, including monthly accruals, invoices and vendor planning. Tracks payments to vendors and evaluates proposed costs.5.    Maintains and establishes new relationships with external event vendors, suppliers and partners for effective execution of event plans.

6.    Coordinates and prepares agendas for events planning meetings involving various external stakeholders, Tribal departments and programs.

7.    Assists with the on-site logistics of Tribe and enterprise-sponsored events, including press conferences, public ceremonies, business events and other special events.

8.    Performs other duties as assigned to support the efficient operation of the department.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Public Administration, or a related field is required.

  • Minimum of two (2) years of experience in a related field is required.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Ability to multi-task with strong organizational skills and ability to work well under deadlines is required.

  • Advanced level experience with Microsoft Office (Word, Excel, and PowerPoint) is required.

  • Firm grasp on a variety of public relations tactics, and a willingness to try new tactics if they support the business goals.

REQUIRED LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

  • Select One of the Following:

    • ☐ Authorized Driver: Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver’s license with an acceptable driving record as determined by the insurance carrier is required.

    • ☐ Driving Responsibilities: Role requires regular commuting between locations. A valid driver's license and vehicle insurance with minimum liability limits is required. Role will not operate or drive Tribe-owned vehicles or patron vehicles.

    • ☒ No Driving Responsibilities: Role does not require a driver’s license or insurance.
