Description

The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the Human Resources Department and be able to organize, plan, execute workloads as part of a team and independently.

Position Summary:

  • Maintains accurate and up-to-date human resources files, documentation and records to ensure that all required documents are collected, scanned, uploaded in HRM and filed appropriately.

  • Maintains the integrity and confidentiality of human resources files and records and performs periodic audits.

  • Answers frequently asked questions from applicants and team members relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management. Ensures documents delivered to human Resources are completed accordingly. 

  • Provides administrative support to the human resources department.

  • Assists in coordinating training initiatives in conjunction with the Director of Learning & Development, coordinating sessions, creating communications, and tracking participation and feedback.

  • Assists with planning and execution of special events such as organization-wide meetings, team members recognition events, holiday parties, retirement celebrations and all other human resources events.

  • Answers and directs departmental phone calls.

  • Receives and distributes office mail and purchases; maintains bulletin board up to date.

  • Schedules and organizes appointments; takes minutes during departmental meetings.

  • Proofreads and types documents and correspondence produced by department.

  • May assist with preparation of human resources reports such as attendance, new hire, and turnover reports.

  • Prepares purchase orders for human resources office and is the go to person for the purchasing platform.

  • Maintains an up to date administration of health certificate cards.

Supportive Functions:

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions:

  • Prepare name tags and assign lockers to team members. Controls locker assignments by maintaining written records of locker numbers and combination. Requests in writing and discuss verbally repairs and key duplications for lockers as needed. Periodic locker inspections.

  • Manually open then visually examine mail and packages in order to sort and direct all.

  • Assist in preparing training materials such as booklets, handouts, certificates.

  • Maintain Hilton social platforms such as First up, Lobby Buzz, TM Facebook current.

  • Ensures that sufficient numbers of forms and proper level of office supplies are maintained in the human resources office.

  • Operate copy, scan, fax, and all other office machines.

  • Participate in committees. 

  • Performs other duties as assigned.

Required Qualification:

  • Excellent oral and written communication skills
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to details.
  • Education: Secondary Vocational (Educacion Profesional Intermedio).
  • Detail and understanding of HR Strategies.
  • Knowledgeable in human resource information system (HRM), and similar computer applications.
  • Languages: Able to communicate fluently both verbal and written in English.
  • Additional languages: Dutch, Papiamento and Spanish.
