The Tribal Council Administrator supports the efficient daily operations of the Tribal Council and Governor's offices by performing key administrative duties and ensuring clear communication of Council decisions. This role involves coordinating council activities, maintaining confidentiality, managing records, and representing the Council to Pueblo of Isleta departments, businesses, and external entities.
ESSENTIAL DUTIES & RESPONSIBILITIES

Administrative Oversight:
Supervises and supports Tribal Council administrative staff, providing guidance on office procedures and task management. Oversees the Council’s calendar and schedules all meetings, events, and activities.

Council Coordination:
Facilitates communication between the Tribal Council and Pueblo departments, businesses, boards, committees, and external agencies. Manages inquiries and responds to requests in a timely, professional manner.

Meeting Support:
Attends Tribal Council meetings, records notes, and tracks action items. Assists in preparing minutes and agendas, coordinating with the Tribal Council Secretary for final approval and distribution.

Document Management:
Prepares and reviews correspondence, reports, resolutions, ordinances, and other documents for accuracy and clarity. Maintains Council records and archives, ensuring easy retrieval and confidentiality of sensitive information.

Budget Support:
Assists with budget preparation and modifications, compiling data and preparing reports to support the Tribal Council’s financial planning and monitoring.

Special Projects & Events:
Coordinates special projects and services as directed by the Council. Assists in general and special elections, per capita distributions, and other council initiatives. Manages amenities for governors or dignitaries in coordination with Isleta Resort & Casino.

Travel & Logistics Coordination:
Arranges travel for Council members, maintains travel documentation, and submits payroll requests to the Treasurer’s office. Prepares purchase and payment requisitions for Council-related expenses.

Public Interaction & Office Management:
Greets visitors, determines their needs, and announces them to the appropriate personnel. Monitors incoming calls and correspondence, exercising judgment in forwarding as necessary.

Notary & Compliance:
Provides notary services for the Council and ensures adherence to the Freedom of Information Act and Privacy Act requirements when handling sensitive information.

Efficiency Improvements:
Continuously assesses administrative processes and makes recommendations to enhance operational efficiency within the Council’s office.
SUPERVISION RESPONSIBILITIES
- Supports the hiring and evaluation of the Tribal Council Coordinator and Archivist Technician.
- Supervises and trains administrative staff, assigning tasks and ensuring job duties are completed accurately.
- Assumes proficiency in the roles of Tribal Council Coordinator and Archivist Technician as needed.
MINIMUM QUALIFICATIONS

Education & Experience: High School Diploma or GED required, with a college degree preferred. Five years of relevant administrative experience, preferably within a tribal organization.

Certifications: Notary Public certification required. Must pass a background check and comply with the Pueblo of Isleta Drug-Free Workplace policy.

PHYSICAL REQUIREMENTS

Physical Activity: Regularly required to sit, stand, talk, hear, and use hands to operate office equipment. Occasional lifting of up to 25 lbs.

Work Environment: Primarily an office environment with minimal noise. Frequent interaction with the public.
PREFERENCE
Preference will be given to qualified Native American and Tribal members for all positions at the Pueblo of Isleta.
