As Meeting & Event Concierge: The Meeting & Event Concierge will be the liaison between the Catering and/or Conference Services Manager and the on-site meeting contact. This position is highly visible and the central point for handling and addressing special needs or on-site requests. The Meeting & Event Concierge will check meeting space daily to ensure event details and set up are as requested and will coordinate and ensure that any other needs or group dynamics are handled quickly and efficiently. They will also be available for day-of wedding assistance as schedule permits.
The Meeting & Event Concierge will cross train within the Catering/Conference Services department: preparing diagrams, preparing BEOs for in-house events and/or small groups, hosting hotel tours, handling rooms-only groups and additional tasks as requested.
Special projects to enhance the client’s experience will be developed by the Meeting & Event Concierge: meeting planner supply boxes, wedding kits for the bridal party, analyzing meeting planner surveys to help develop solutions, etc.
Serve as back-up to the Catering & Events Coordinator.
Catering & Events Coordinator: The candidate must be a highly motivated individual who is eager and ready to accept additional responsibilities when needed. This position is responsible for providing administrative support to a team of Catering / Conference Services Managers. This person should demonstrate exceptional customer service and problem-solving skills. The ideal candidate has a friendly demeanor, computer and technology literate, has excellent organizational skills, the ability to multi-task and re-prioritize, and to complete daily tasks in a high-paced environment.
The Catering & Events Coordinator will be responsible for assisting the Catering / Conference Services Managers with all administrative tasks to include but not limited to: taking leads, preparing and sending proposals, preparing resumes and BEOs, diagrams, assisting with site visits, etc. Additional administrative tasks will include but not be limited to: daily reports, weekly financial reports, purchase orders, etc.
Qualification Requirements: Computer skills required: Delphi / Delphi fdc, Word, Excel, PowerPoint, Outlook, Meeting Matrix (or Room Viewer/Social Tables), V1 (or Opera), InfoGenesis
- 1 year in Hotel Catering Administrative position
- Thorough knowledge of Hotel Food & Beverage operations. General knowledge of all hotel departments.
- Refined verbal and written communication skills
- Effective organizational and time management skills
- Excels in a fast-paced work environment
Education and Experience: High school diploma or equivalent.
Language Skills: Excellent service skills including etiquette and ability to work with the public. Knowledge of communications skills, organization skills, ability to deal with diverse clientele, golf knowledge.
Reasoning Ability: Ability to solve problems and deal with a variety of variables in situations where only limited standardization exists. Ability to provide and interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Other Skills and Abilities: Ability to communicate and work well with fellow employees and other departments. Maintain a presentable appearance, behavior and manner at all times. Ability to process administrative work. Ability to manage multiple tasks effectively.
Physical Demands: While performing the duties of this job, the employee will be sitting for extended periods of time answering and sending emails. Might regularly stand, walk, and talk. The employee frequently is required to use hands to grab, move, lift, or feel objects, and use telephone and copier machine
