The CONFERENCE SERVICE MANAGER is responsible to manage and oversee all aspects of assigned group programs, acting as the primary group contact from start to finish for each program, and to ensure complete customer satisfaction. The role will routinely perform office or non-manual work that directly relates to the Company’s general business operations and will customarily and regularly use discretion and independent judgment in performing the job.

The expected base wage range for this position is: $66,560 to $75,400/year. This position may be eligible for additional compensation according to the Company's policies, as they may be amended from time to time.

ESSENTIAL DUTIES:

  • To understand and respond to all guest needs and requests in a timely and professional manner.
  • To act as the primary liaison between hotel and groups and to execute on contracted specifications, including any special client requirements and/or requests.
  • To promote repeat business and build long-term client relationships by executing and delivering a successful event program.
  • To actively participate in site visits and plan meetings for upcoming groups and potential customers.
  • Provide critical support to general business operations at the property.
  • Ability to work independently under only general supervision.
  • To hire, train, schedule, support, review, and discipline employees in the Conference Services department and to ensure that all staff members maintain the highest possible levels of employee morale and department productivity.
  • To evaluate all details of the event with the client and to create customized specification sheets which detail group purpose, room/suite block/pickup, rates and special negotiations, VIP's, meeting and recreation agenda, AV, accounting, and all special instructions to operational departments of hotel.
  • To actively and independently manage, communicate and oversee all group food and beverage events, including upselling the client on menu and wine selection, audio visual needs and entertainment in order to meet and exceed monthly sales revenue goals.
  • To attain monthly revenue goals in accordance with the approved departmental budget.
  • To meet clients upon arrival, introduce them to key hotel staff, and to be their primary point of contact to ensure the highest level of personalized service for the duration of the event.
  • To plan and create daily customized Banquet Event Orders for each group's food and beverage events.
  • To actively maintain a competitive analysis of pricing and offerings by researching local hotel competitors.
  • To independently plan and direct pre-convention meetings, as requested by client.
  • To coordinate and communicate last minute changes in group functions to hotel staff, including Purchasing, Kitchen, Banquets, Housekeeping, Engineering, Front Desk, Valet, Bell and Concierge, and ensure satisfactory follow-up from all departments.
  • To have weekly meetings with hotel operations managers to present and review all event details and operational requirements for the upcoming group business so that the event meets and exceeds client expectations.
  • To conduct regular team meetings to develop new ideas for service improvement.
  • To review, audit and approve final invoicing generated by the Accounting Department prior to forwarding to client.
  • To attend hotel functions, as directed.

QUALIFICATIONS: Bachelor's degree in Hotel or Business Management, or equivalent experience required. English fluency required. Must have a minimum of two years’ experience in conference coordination in a hotel of comparable quality. Must be computer literate and familiar with Delphi. Must be knowledgeable of operations in all other areas of the resort, but particularly in the kitchen, front office, restaurants, and accounting. Must be skilled in accepted business presentation formats.

Courteous, friendly, and professional manner. Good team player. Customer service focus. Able to work productively with little supervision. Trustworthy and reliable. 

PHYSICAL/MENTAL DEMANDS: Stands/walks approximately 50% of shift. Sits at desk or in meetings approximately 50% of shift. Heavy phone use, daily. Patience and tact required to accommodate customer needs, and resolve occasional difficult situations. Must be flexible to work long, sometimes irregular hours to accommodate client schedules. Must be able to work well under pressure. Frequent use of stairs, daily. Guest facing position that may handle conflict and/or encounter individuals who may be upset and emotional at times.

TRAVEL: This position is not expected to travel for work. 

REMOTE WORK: This position is not eligible to work remotely. The candidate must be able to work in-person during normal business hours.
