Join our dynamic team at the prestigious Ponte Vedra Inn & Club as a Wedding & Special Events Manager. We are renowned for curating unforgettable experiences for our guests and are currently seeking a passionate, detail-oriented professional to fill this crucial role. As a Wedding & Special Events Manager your responsibilities will revolve around meticulously planning and executing every aspect of weddings and special events to surpass our guests' expectations.

QUALIFICATIONS

EDUCATION: Four-year college degree, with a preferred major in related field, i.e. Hotel Management, Business or Marketing or 2 years prior experience in Catering & Conference Services.

TRAINING & EXPERIENCE:

  • Demonstrated experience in event planning and coordination, preferably in the luxury hospitality industry.
  • Exceptional organizational skills with a keen eye for detail.
  • Strong interpersonal and communication skills.
  • Creativity and ability to think outside the box.
  • Proficiency in event planning software (Delphi).
  • A valid Driver’s License is required.

 

JOB KNOWLEDGE: Proficiency in event administrative work to include banquet event orders diagrams and service agreements, along with a solid understanding of luxury hotel and resort operations.

PHYSICAL ABILITIES: This role requires the ability to be on your feet for extended periods and thrive in a fast-paced environment.

DUTIES AND FUNCTIONS

  • Flexibility: Embrace a flexible schedule, including weekends and holidays, as needed.
  • Punctuality: Consistently arrive on time, presenting yourself in a professional and well-groomed manner.
  • Professional Appearance: Maintain a clean and polished appearance in accordance with our uniform and grooming standards. Management has final approval.
  • Continuous Learning: Participate in all mandatory training and safety courses, as well as attend departmental meetings.
  • Wedding & Special Events Coordination: Oversee all aspects of weddings and special events booked by the Sales Department. Ensure adherence to sales agreements and guide clients through the planning process.
  • Revenue Optimization: Finalize event requirements, maximizing revenue through upselling and maintaining effective communication with all hotel departments both written (BEOs, Service Agreements, Diagrams, Daily Reports) and verbal to ensure the success of the event.
  • Client Liaison: Serve as a liaison between clients and hotel departments, maintaining an active trace system for event coordination with Delphi.
  • Billing Accuracy: Verify the accuracy of banquet bills and conduct bill reviews upon event completion.
  • Event Supervision: Supervise the execution of banquet events, working closely with the banquet manager and setup manager to ensure client satisfaction.
  • Meetings & Collaboration: Plan, attend, and participate in meetings with hotel staff and clients, ensuring seamless event execution.
  • Service Excellence: Uphold the highest standards of service and professionalism, fostering positive relationships with colleagues and clients.
  • Problem Solving: Address challenges and unexpected issues promptly, balancing client needs with hotel goals.
  • Communication: Keep the Director of Catering & Conference Services informed of any operational matters that require attention.
  • Hotel Knowledge: Maintain a deep understanding of the hotel's facilities, meeting space capacities, and operational requirements of all departments.
  • Interdepartmental Communication: Effectively communicate operational information to other hotel departments.
  • Administrative Support: Assist with various administrative tasks, including daily and weekly reports, event planning, and inquiries as needed.
  • Additional Duties: Perform any other duties as assigned by the Director of Catering & Conference Services.
